Program Overview for Sustainable Cities and Transport
WRI India’s urban development work aims to transform the way cities are planned and designed to ensure that urban development benefits people, nature and climate. We focus on integrated solutions to long-standing urban challenges, leveraging evidence-based data, applied research and our network of partners and experts. We collaborate at all levels with the government, city administrations, urban stakeholders and partners to help cities become resilient, low-carbon and liveable while balancing their socio-economic goals. Job Highlight:
India’s cities are at an inflection point. Extreme climate and heat events are intensifying, and cities are shaping new responses to manage the climate crisis. WRI India’s Cities Program is building a systems-level response: convening multi-stakeholder dialogues, developing decision-support tools, informing city and state policy, and demonstrating what a whole-of-society approach to urban water and climate resilience looks like in practice.
This role sits at the intersection of three functions: operations, program strategy and project management and delivery, and will enable continuous learning, setting in place systems and structures for efficient and transparent project management, and strategic alignments with internal and external partners. To this end, we are looking for a Program Coordinator who will provide essential financial, operational, and project management support for the Urban Water and Climate Resilience program, including large multi-year projects under this workstream. In this role, you will track expenditures, and support budgets and financial proposal development. You will also coordinate with external partners, draft and monitor project contracts and procurements as well as manage team meetings and liaise with external partners. You will report to the Director, Urban Resilience, and work closely Program Heads across Projects, Strategy and Finance.
What will you do:
Budgeting & Financial Management (50% time)
- Maintain trackers of project budget details, project expenses and partner spending to support project managers’ financial decision making
- Regularly review, update, and monitor all transactions, commitments, and revenue prospects for projects
- Draft grant proposal budgets and coordinate with Grants and Finance Specialist to align project activities with budgets and assist with annual cost planning
- Support to prepare financial report for project donors and work with relevant departments to finalize report and prepare for audit process
- Identify project risks and seek support to manage them with the project manager
- Liaise with other Urban Development projects beyond Urban Water & Climate Resilience to coordinate on financial management, staffing, and fundraising
Project & Partner Management (25% time)
- Coordinate with the project managers to monitor the progress of project implementation, ensuring teams adhere to project deadlines and provide accurate supporting documentation
- Support project managers in coordinating with external partners, and liaise closely with WRI India staff across programs and departments, as well as operations teams at WRI international offices
- Provide guidance to partner organizations and consultants to ensure their compliance with legal and funder requirements and WRI policies
- Assist project managers on day-to-day activities, such as creating agendas and facilitating meetings, preparing presentations, creating templates and structures for project reporting, and coordinating workshops and knowledge exchanges
Grants & Contracts Management (25% time)
- Prepare and maintain sub-agreements and contracts in collaboration with project teams and Operations team, supporting to ensure that agreements are cost-effective and completed on time
- Monitor and advise team on maintaining compliance with terms and conditions of complex grant and contract agreements, including accurate submission of progress and financial reports
- Support upkeep of knowledge management systems for donor and grants management, including maintaining meticulous electronic records of project and partner documents on SharePoint
- Coordinate the program team to prepare periodic reports and work plans, as required by both external donors and WRI institutional processes
What will you need:
- Education: Bachelor’s degree, preferably in a related discipline.
- Experience: 2+ years of relevant, full-time work experience, preferably including familiarity with financial management, grants or contract management, or nonprofit operations
- Experience in working effectively and respectfully in diverse teams, maintaining professionalism in all interactions with both internal and external audiences.
- Experience using organisational skills to track and manage project delivery, and monitoring and analysing data to assist in decision-making
- Detail-oriented and organized thinker with an interest in financial management, program operations, and grant compliance
- Ability to work independently, including proactively identifying problems and working with team members to develop solutions
- Demonstrated strong computer skills including high level of comfort with Microsoft Office (Excel, Word, PowerPoint, Outlook, SharePoint), web-based communications (Teams, Zoom), and project management platforms (Asana)
- Experience with Salesforce and Workday is desirable

Location: Mumbai preferred.
Potential Salary and Benefits: INR 9,50,000 to INR 12,00,000
Salary shall be commensurate with experience, skills, and internal parity. WRI India offers a generous and comprehensive benefits package.
Duration: 1 Year Term Hire (Extendable based on performance and project requirements)
