The Major Gifts Grants Officer plays a critical role in securing funding for Water For People’s global programs and operations by managing proposal, reporting, and contract processes for the Major Gifts team, which is responsible for securing approximately $10M+ in annual contributions. This position manages workflows, processes, and quality control across multiple teams, departments, and country programs, and demands a high level of attention to detail, strong organizational skills, strategic thinking, and the ability to collaborate effectively within established timelines and firm deadlines.
Proposal and Report Management
- Coordinate the grant proposal and report development and submission process for all Major Gifts opportunities, supporting grant writers based across multiple regions and time zones
- Maintain detailed and timely communication with all Major Gifts team members and colleagues in other departments, ensuring drafts, reviews, and submissions are completed on time and meetings are scheduled as needed to facilitate clear expectations across teams
- Facilitate Go/No Go process to determine whether new funding opportunities should be pursued
- Organize, manage, and maintain the Grant Management System (GMS) – a Sharepoint platform – for the Major Gifts team, including the creation of new grant sites; the proper organization and storage of all proposals, reports, and accompanying documents; and the assignment of permissions and tasks for primary users
- Conduct reviews of all proposals and reports to confirm alignment with requirements outlined in RFPs and contracts, as well as provide quality control to ensure consistency with Water For People’s brand and organizational standards
- Ensure communication protocols and tools are understood and implemented across teams and departments and provide training, as necessary, to colleagues for ensure optimal use of protocols and tools
- Support the quality and efficiency of workflows and systems by offering recommendations to develop or refine policies and procedures.
Contract Facilitation
- Facilitate the contract review and signing process in collaboration with the Major Gifts team, as well as with colleagues from Global Programs, Finance, and other departments
- Support donor negotiations by providing Major Gifts Relationship Managers with summarized reviews and action items that reflect a clear understanding of donors’ reporting requirements and fund-disbursement terms
- Ensure contracts are signed by the correct signatory, stored properly, communicated across teams, and deleted in accordance with internal policies
Tracking & Measurement
- Update and maintain the grants dashboard and calendar, paying close attention to upcoming proposal and report deadlines and archiving closed grant opportunities
- Lead monthly grants calendar meetings to ensure cross-department understanding and expectations of upcoming work and responsibilities
- Track and provide regular updates to the Major Gifts team on number of proposals and reports submitted, success rate, and other relevant metrics

- Bachelor’s degree in nonprofit management or a related field (or equivalent experience)
- Proficiency in English
- Minimum three years of experience in grant management, preferably in the nonprofit sector
- Experience working as part of a fundraising team
- Proficiency reviewing financial reports and ensuring donor compliance
- Experience managing deadlines and structured workflows
- Experience coordinating across teams
- Strong written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to manage multiple deadlines and projects simultaneously
- Experience working across geographic regions and time zones
- Proficiency in Microsoft Office Suite, including Teams
Experience working with SharePoint and Power BI
- Water For People will seek candidates from Bolivia, Peru, Guatemala, and Honduras.
- You can work from a Water For People office in one of these countries or work remotely from home in one of these countries.
