POSITION DESCRIPTION:
The Division of Freshwater Fisheries Management is seeking a motivated person to fill a highly responsible and professional position in the Director’s Office. This position will report to the Senior Management Analyst and assist with serving division staff and the Division Management Team with contract management, purchasing, invoicing and other administrative support as needed. Effective communication, interpersonal skills, and attention to detail are required.

JOB DUTIES:
Specifies duties may include, but are not limited to:
Contract Management
- Meets with project leads to determine best method for procurement of services.
- Assists project lead with development and routing of contract terms and conditions and completes cost analyses of provider budgets.
- Maintains appropriate contract files and records.
- Verifies and authorizes invoices for payments related to programmatic contracts.
Purchasing
- Assist division personnel with purchasing procedures for obtaining competitive price quotations.
- Process requests for amendments and cancellation of purchase orders.
- Ensure exceptional request/authorization/certification letters are obtained for purchase order issuance.
Administrative Support
- Responsible for paying and redistributing monthly DMS, WEX, and cell phone bills for the division.
- Assists the senior analyst in maintaining division inventory, HR checklists, etc.
- Creates and maintains filing system for Tallahassee office with knowledge of retention schedules.
- Process personnel action requests as needed for the division.
- This position will also be responsible for assisting with grants, projects and tasks that help streamline the Tallahassee office/Division functionality.
MINIMUM QUALIFICATIONS:
- Applicant must successfully pass Level II background/criminal history check.
- Two years of professional experience with purchasing or contract management.
- Must successfully complete training in contract and grant management and become a certified contract manager within one year of hire in accordance with section 287.057(15)(c), F.S.
PREFERRED:
- Currently a Florida Certified Contract Manager (FCCM) or held a FCCM certificate within the last five years.
- Working knowledge and experience using MyFloridaMarketPlace (MFMP) applications and/or P-card WORKS.
- Professional administrative work experience (i.e., supervisory, managerial, purchasing agent, budget analyst, etc.).
