WaterNow Alliance seeks a Program Associate to provide administrative, communications and research support for a new and rapidly growing non-profit focusing on sustainable water. WaterNow Alliance supports local water utility leaders in building sustainable and innovative water alternatives in their communities. We focus on strategies to accelerate adoption of reuse and efficiency technologies, green infrastructure, watershed health, stormwater recapture, and groundwater management. Our goal is to help communities become as water resilient as possible, as cost-effectively as possible, while protecting our natural resources for generations to come.

Our ideal Program Associate will be experienced in handling a range of executive support, operational and outreach related tasks and as well as program research as needed. This person must be exceedingly well organized, flexible and comfortable with a varied workload. The ability to interact well with a small team in a fast-paced environment, sometimes under pressure, remaining positive, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role. Job Responsibilities

(1) Program Research

  • Conduct basic research on water initiatives, programs, issues, opportunities as needed
  • Research potential partners, projects
  • Track key reports, developments in the water community; organize material so that its easily retrievable
  • Provide research support as needed to Development Consultant on fundraising opportunities
  • Track water news regularly

(2) Communications Support

Work with Outreach Manager to:

  • Help maintain databases
  • Create social media content for Facebook, Twitter
  • Track social media metrics, prepare regular reports re same
  • Provide direct support for members

(3) Events and Meeting Support:

Work with the Program Manager to:

  • Assist with and provide logistical support in preparation for events, conferences, Steering Committee meetings, webinars
  • Coordinate travel arrangements for participants, secure meeting space
  • Address audio/visual and other technical needs
  • Organize meals and receptions
    • Assemble meeting/event materials

(4) Executive Support:

  • Maintain and organize Executive Director (ED) email to ensure timely response and correspondence with colleagues, partners etc.
  • Manage and schedule ED’s calendar, interacting with internal and external requests to coordinate appointments
  • Manage ED travel arrangements, registrations, reservations and other logistics
  • Prepare ED expense reports, track receipts
  • Manage WNA organizational calendar, track key events, deadlines etc.
  • Schedule and prepare agendas for Team meetings, Steering Committee meetings, etc.

(5) Operational Support:

  • Implement office/administrative systems to ensure an efficiently running organization
  • Share responsibility for administrative and detail work across the organization in support of project and organization success
    • Manage office equipment and supply needs

Job Requirements

  • Bachelor’s degree required. 2‐3 years relevant work experience preferred.
  • Have strong computer skills: Google Suite and Microsoft Office including Word, Excel, PowerPoint, DropBox and Google Applications
    • Demonstrated ability with Microsoft Word, Excel, Outlook, and PowerPoint; experience with WordPress a plus
    • CRM database experience (Salesforce preferred)
    • Proficiency with with administrative online applications and web conferencing tools (e.g., Gotomeeting, Survey Monkey, etc.)
    • Proficiency with basic IT troubleshooting
    • Proficiency with social media
    • Experience managing vendors
    • Excellent calendar management skills
    • Excellent research and writing skills
    • Effective verbal communication skills
    • Outstanding organizational skills, attention to detail
    • Ability to meet deadlines consistently, prioritize and manage multiple tasks
    • Willingness to take on administrative responsibilities and tasks (really)
