|Description of Work|| |
Provide advanced event production, travel coordination, and administrative support for the institute. Manage visa requirements and other administrative coordination for visiting international faculty, visitors, staff and students. Develop and manage online event registration and related communication with event participants, speakers, sponsors and others. Facilitate event production for the Water for Food Global Conference and other institute events, which may include vendor recruitment, coordination of set design and signage, audio/visual services, catering, entertainment, meeting room reservations, onsite registration, and detailed budgeting. Manage contact lists and databases. Schedule, prepare for, attend meetings and record minutes of institute meetings. Prepare reports, letters, mailings, packets of materials, filing, copying, scanning, recycling, and special projects as assigned. Provide receptionist services, greeting visitors, facilitating introductions, accepting deliveries. Provide coverage of office support staff during transitions or absences of staff.
|Minimum Required Qualifications|| |
Bachelor’s degree in business administration or closely related field plus 2 years of travel coordination experience and event production required; equivalent education/experience considered. Demonstrated ability to coordinate multiple projects to achieve successful outcomes necessary. Excellent communication and customer service skills essential. Excellent knowledge of computer software, including but not limited to event registration, email marketing, word processing, presentation design, spreadsheet, database, and email with calendar functions required. Must have working knowledge of general office practices and office equipment.
|Preferred Qualifications|| |
Bachelor’s degree in business, journalism or liberal arts preferred. Experience in making international travel arrangements desirable. Prefer experience in large event coordination. Working knowledge of UNL helpful. Strong interpersonal, organizational and detail-oriented skills preferred. Ability to multi-task and work independently within established procedures desirable. Prefer experience with large integrated financial management systems (i.e. SAP, etc.).
