ABOUT THE RIVER PROJECT:
The River Project (TRP) is a small (<10 employees) non-profit organization founded in 2001 and dedicated to natural resource protection, conservation, and enhancement. Our mission is to encourage responsible planning and management of our land and water resources; working toward local water and living rivers nourished by healthy watersheds for the social, economic, and environmental benefit of our communities. Through advocacy, scientific research, projects, community engagement, and hands-on educational programs, we provide Angelenos with the tools to create a climate-resilient future.
The Operations Manager performs highly responsible work requiring the frequent exercise of leadership and initiative in the administration of assigned projects, and in the development and delivery of services to meet staff, organizational, and community needs. Responsible for managing organizational systems and budget, grant administration, reporting and invoicing. Keeps staff and subcontractors on track and on budget, monitors personnel performance and adherence with organizational policies. Works under the direction of, and consults with the Director.

- Maintain internal databases (physical and digital) and filing systems for organizational documents, employee records, and data on vendors and external partners
- Ensure that projects are implemented according to budgets and schedules, professional standards, project-specific expectations, and are consistent with TRP’s vision and goals.
- Coordinate with Director on grant and foundation opportunities and requirements, and assist with facilitating proposals and contract requirements.
- Develop and submit quarterly project reports, reimbursement request forms and back up documentation to ensure timely reimbursements for project expenses.
- Ensure that all reports, invoices, and deliverables are submitted according to schedule.
- Coordinate with, manage, take and archive notes of meeting with subcontractors.
- Ensure all subcontractor deliverables are provided per contract, and are consistent with professional standards, and applicable laws and requirements.
- Coordinate with subcontractors, government agencies, and other entities as necessary to ensure appropriate legal approvals, permits, inspections, and other project-specific requirements.
- Consult with TRP’s counsel as necessary to ensure legal compliance regarding grants and project implementation.
- Prepare required filings with the State Attorney General and other agencies as necessary.
- Monitor inventory of office supplies and handle the purchasing of necessary material with attention to budgetary constraints
- Manage incoming and outgoing mail, answer and redirect phone calls and emails
- Handle queries from managers and employees
Budget & Accounting
- Work closely with the Director in developing and monitoring the annual operational budget
- Track and manage project, program, and organizational budgets
- Follow organizational policies and procedures to ensure internal controls, work to improve processes, and maintain compliance with governmental regulations
- Run payroll (Gusto), and manage financial transactions including properly coded vendor transactions, accounts payable/receivable in coordination with the Bookkeeper
- Work with Director and staff to manage project-based time tracking (Harvest).
- Support the Director in management of TRP finances, including research and analysis necessary for reporting annual financial statements, preparing the annual audit and tax return, and ensuring continued financial health of the organization
- Participate as needed in the end of the year closing of the books and reporting.
- Work with the Director during the various audit processes
- Provide support to Director in pursuit of higher level goals (e.g. budget development)
- Manage employee on boarding and offboarding
- Implement, and assist in enforcing Human Resources policies and procedures, including but not limited to performance management and review
- Responsible for employee handbook including updates and regulatory complianceManage day-to-day human resource matters. Counsel employees on issues while maintaining employer advocacy role.
- Update job descriptions and continually analyze job classification to ensure compliance with regulations.
- Participate in performance appraisals and disciplinary actions
- Analyze, plan, organize, and coordinate needed training for employees
- Participate in organizing staff social activities
- Experience with non-profit administration and management

- Strong knowledge of chart of accounts and fund structure to verify and input transaction coding
- Experience in information management systems; strong knowledge of accounting and reporting software; and demonstrated proficiency with Word and Excel, as well as web search engines is required. Prior knowledge of Box, Xero, Harvest and Gusto advantageous.
- A passion for the environment and social justice is highly desirable.
- This job requires the ability to work at a computer for extended periods of time; carry objects weighing 5-10 lbs; walk up and down 2 flights of stairs; and travel to off-site meetings as requested.
EDUCATION AND EXPERIENCE REQUIRED
- Minimum of a BA, ideally with a finance, management, or related degree
- At least 5-7 years of professional experience in the nonprofit sector, with direct responsibility for the financial and administrative management of a not-for-profit organization
