Job Purpose

To provide the full spectrum of managerial support to events, administration and finance activities. The job holder will also be required to liaise with stakeholders and maintain good relations with various counterparts.

Duties and Responsibilities

1. Core Managerial Functions at IWP

  • Provide managerial support to the Director/Deputy Director to ensure compliance of the members of the institute with the overall goals of the IWP leadership
  • Prepare progress reports for submission to our stakeholders and School
  • Curating and mobilizing presentations for the IWP seminar series and the flagship programme for water scholarship
  • Maintain external relations with water researchers

2. IWP Internal Funding Schemes

  • Work with the School's Finance and Research Support Unit (RSU) on issues related to these grants (budget extension/variation, creation of new Research- Work Breakdown Structure (R-WBS)
  • Provide guidance to researchers to ensure proper documentation and protocols are followed in our research processes
  • Leading the ISO certification/renewal (Research Processes) of the institute

3. Sound Financial Practice at IWP

  • Facilitate the institute's claim submissions in a timely manner
  • Work with the School's finance on submission of claims to our stakeholder
  • Handle invoices/payment to individuals within deadlines
  • Facilitate compliance of agreements with the Office of Legal Affairs (OLA)

4. IWP-International Advisory Panel (IWP-IAP)

  • Liaise with universities and key players on intents, broad goals and inputs
  • Organize and coordinate the annual IWP-IAP meeting off-site and travel arrangements for IAP members
  • Liaise with stakeholders on protocols and matters related to the IAP meeting

5. IWP's Events and Research Activities

  • Ensure smooth operations of IWP funded projects/workshops/seminars
  • Organize job talks and schedule Skype interviews with potential job candidates
  • Coordinate and communicate with invited speakers/external event/catering vendors
  • Manage IWP's mailbox for recruitment and job enquires


  • Possess a Bachelor Degree, preferably finance-related
  • Possess 5-10 years of working experience
  • Possess strong interpersonal skills with excellent written and verbal communication skills
  • Possess the ability to multi-task and work effectively with staff, internal and external stakeholders at all levels
  • Possess strong analytical, personal and human relationship skills
  • Highly committed with good service-oriented attitude
  • Demonstrate strong planning, problem-solving and critical thinking skills
  • Demonstrate good organizational capabilities with an eye for details
  • Ability to work independently as well as part of a team in a fast-paced environment
  • Proficient in Microsoft Office applications (especially Excel, Word and PowerPoint)
