Position Summary:The Coordinator for the Villanova Center for Resilient Water Systems (VCRWS) provides high-level administrative support to a large and complex research center. The Coordinator assists the Center’s Director and Associate Director with day-to-day administrative operations and maintains sufficient understanding of the Center’s programs and services and the processes and resources required to support them.

Duties and Responsibilities:Center Administrative SupportTrack data on publications, proposal submissions, grants awarded, honors and awards, overhead return and other data as required for the Center’s Director and Associate Director.Assist the College-deployed research administrator in gathering data for proposal preparation and grant budget reconciliation.Assist Center’s Director and Associate Director in managing all Center accounts, maintaining detailed information, and verifying center income related to indirect costs and gifts.Assist Center’s Director and Associate Director with short and long-range financial planning for the Center.Collaborate with Employment Operations Specialist on Graduate Assistantship processes.Perform additional duties and assist with special projects as assigned and support faculty and students as needed for administrative research activities.
Outreach and CommunicationDevelop outreach materials and content based on Center activities, to include materials for the center website, authoring newsletters, and social media (e.g. Twitter, LinkedIn).Maintain website linkages to faculty and student publications to include citation library.Oversee Villanova Urban Stormwater Partnership (VUSP) partner outreach and communication to include partner membership status, arranging research site tours for external constituents and building outreach components to the website.
Event ManagementCoordinate the biennial Stormwater Management Conference (over 300 attendees) and annual Center events and act as main logistical contact for all events.Assist with the biennial Municipal Stormwater Workshop.
Research Proposal SupportMaintain common research documents to include laboratory capabilities, data management, and outreach plans.Aid with proposal editing, soliciting of letters of support, etc.
Minimum Qualifications:Minimum qualifications include:Bachelor’s degree.3-5 years of relevant and applicable work experience in an administrative or academic setting.
Work skills must include but are not limited to:Administrative skills and office operations.Strong written and verbal communication skills, as well as problem-solving abilities.Proficiency in managing multiple projects with competing deadlines at one time.Proficiency in spreadsheet, database, and presentation software (Microsoft Office 360).Knowledge of budgeting, social media and other digital communications tools.Ability to keep current with Villanova University job-related technologies and databases (e.g., applicant tracking and performance management software, student database software and Banner).Ability to work in a high-volume, fast-paced academic setting.Must have a deep commitment to the well-being of the University and the advancement of its mission, and to serving the needs of a diverse community with respect toward all.
Preferred Qualifications:Experience with engineering or any water resources environment preferred.
Physical Requirements and/or Unusual Work Hours:Minor lifting, and working occasional hours on nights and weekends as demands of the job dictate.
